Staying close to a client's business is often the gap between a good social media manager and a trusted one. It's not about more content, it's about the system behind it.
Below are the five processes we use at Freed to stay close to our clients, and keep up with everything happening in their business every single month.
01 / Monthly Forms
At the start of each month, we send each client a monthly form. It prompts them to share what's happening over the next month or two, and anything we should be aware of. Personalised to their brand, so it's easy to answer and nothing is left to a last-minute message.
02 / A Shared Content Calendar
Every client has their own shared planner. Posts, captions, feed previews, and the yearly calendar all live in one space, where they can see what's coming next and input ideas as they come up.
03 / Content Reviews in Advance
We plan, create, and review content before the month begins. Everything is reviewed, amended, and ready to go before the following month starts, giving us the space and time for proper communication without last-minute scrambles.
04 / Continuous Communication
A dedicated Slack channel stays open throughout the month. We understand that in business things don't always go to plan, so this allows us to carry out changes, discuss amendments, and stay responsive to whatever's happening in real time.
05 / Shared Albums and Instagram Saves
Each client has a shared iPhone album and a shared Instagram collection. They add new content, inspiration, or ideas as they come up, and we're notified instantly. The content pipeline stays current, without needing a single email.
The Content Planner Behind This Process
Our 2026 & 2027 Social Media Content Planner is the shared calendar that holds all of this together. Built in Google Sheets, it's the central space where posts, captions, feed previews, and ongoing ideas sit alongside your client's monthly input. Designed for the way social media managers actually work.
